If your staff is too preoccupied with other tasks simply hire a professional with direct marketing experience who can reach out with a friendly voice and update each clients profile by asking pertinent questions. This can also be achieved through leaving a voice mail message and requesting a call back, or by sending out a custom formal letter asking a variety of survey questions.
